Computer Lifecycle Replacement Program

The Computer Lifecycle Replacement (CLR) program assigns computers directly to full-time faculty or staff members. Those funded by General Revenue Allocation (GRA) receive the base model at no charge, while others must use their own funds (grant, endowment, or revenue). IT tracks warranties and replaces computers at the end of their five-year warranty. IT Hardware Management will notify departments when replacements are due. When an employee leaves the University, please return their CLR computer to IT.  Departments may request a CLR computer for a new eligible employee once the hiring process has been completed within HR.

What IT Provides

The standard computer offered by the Computer Lifecycle Replacement (CLR) is a Dell laptop, which was chosen due to the Emergency Closure and Transition to Remote Operations policy (HR-217). Precision models are available for high-performance computing needs, subject to a consultation with RSS. Desktops are made available for CLCs, departmental labs, and temporary/student workers.

Mac users will receive a subsidy but must cover the cost difference. Personal purchases should be made at the S&T Store, while all campus-use Mac purchases must go through IT.

For exceptions to the standard laptop offering, please request approval by submitting a ticket.

 

Stipend Amounts

IT no longer customizes CLR computers. the IT subsidy of $1,254 is available only to full-time employees funded by General Revenue Allocation (GRA). All employees are part of the CLR program and receive computers with five-year warranties, which must be replaced at the end of their lifecycle.

Purchases are not allowed before the Human Resources hiring process is complete.

No one is allowed to keep their CLR computer.

To search for your Dell computer warranty information, visit the Dell Support page and type in your computer's service tag. To find your service tag, find the type of computer you have listed on this page of Dell's website and follow the instructions on its respective page.

Through the Computer Lifecycle Replacement Program, university hardware has a planned lifecycle that is designed to function for a set warranty period and then be replaced in a timely manner. The IT department strongly encourages employees to replace their computers within the recommended lifecycle. Ignoring this lifecycle can cause serious security risks.  Therefore, computers with expired warranties will not receive IT support and are subject to removal from the network.

Yes, your new computer will be a newer model, which can be repaired under warranty if needed.

GRA-Funded to GRA-Funded Department Transfers

If you are moving from a GRA-funded position in your former department to another GRA-funded position in your new department, the computer will transfer with you. You will need to report the department transfer to IT so that we can update our records. Please submit a ticket for Computer Lifecycle Replacement (CLR) - Request/Submit CLR Information to update department changes at S&T IT Client Portal Home.

 

GRA-Funded to Non-GRA Funded Department Transfers

If you are moving from a GRA-funded position to a non-GRA-funded position, please return the computer to IT. Your new department will need to procure a computer for your new position. Please notify IT of your transfer and submit a ticket for Computer Lifecycle Replacement (CLR) - Request/Submit CLR Information to request a new computer and update department changes or vacancies at S&T IT Client Portal Home.

 

Non-GRA to Non-GRA Department Transfers

If you are moving from a non-GRA funded position to a non-GRA funded position, your computer will remain with the department that purchased the computer. Please notify IT of your transfer and have your department procure a computer for your new position. Submit a ticket for Computer Lifecycle Replacement (CLR) - Request/Submit CLR Information to request a new computer and update your department change at S&T IT Client Portal Home.

No purchases should be allowed before the Human Resources hiring process is complete.  However, if you can provide an email from HR confirming the position’s start date and how the position is funded, IT can proceed with the purchase.  Please submit a ticket with the HR confirmation email for Computer Lifecycle Replacement (CLR) - Request/Submit CLR Information to inform IT of the new employee hire at S&T IT Client Portal Home.

Loaners are available from the Customer Technology Services (CTS) team; please submit a ticket with the justification for it.
