How to Search for Items

To search for items within the spreadsheet, follow these steps:

  1. Open the Spreadsheet: Ensure you have view access to the Google Sheet.
  2. Use the Search Function:
  3. Press Ctrl + F (Windows) or Cmd + F (macOS) to open the search bar.
  4. Enter the keyword or phrase you are looking for (e.g., software name, department, access method).
  5. Navigate Through Results:
  6. Use the arrow keys or the search bar’s navigation buttons to move through the search results.

Spreadsheet Columns Explained

Software

  • Format: {Software Name} by {Vendor}
  • Description: This column lists the software name followed by the vendor.

Departments

  • Description: Indicates which departments are approved to use the software.
    • Campus-wide: Everyone at S&T can use it.
    • All Academic Departments: Only academic departments can use it; it is not for university operations outside of academics (e.g., Service Departments, Administration)

Cost

  • Description: Shows the individual license cost or if a quote is required.

Access Methods

  • Format: {Operating System} - {Method}
  • Description: Shows how the software or service can be accessed
  • Possible Operating Systems: Windows, macOS, Linux, Android, iOS
  • Possible Methods:
    • Submit a request to IT: IT will need to install the software, provision a license, or get purchasing approval via IT compliance.
    • AppsAnywhere: The software is available in AppsAnywhere. Additional steps may be detailed in the Notes column or on the AppsAnywhere description page.
    • Pre-Installed: The software is installed by default on managed systems with that OS.
    • Pre-Installed on CLCs: Installed by default on managed CLC systems with that OS.
    • Pre-Installed on Instructor Stations: Installed by default on instructor stations in classrooms.
    • Pre-Installed on Non-CLCs: Installed by default on computers not found in a CLC.
    • Web-Based: The software is web-based.
    • Direct Download: Available via direct download, typically for Android or iOS but sometimes for other OS’s as well.

Allowed Usage

  • Description: Explains how the software or service can be used in relation to university operations.
  • Categories:
    • Academic Research:
      • Students performing non-commercial research to complete coursework.
      • Faculty performing non-commercial research where the results are published.
      • Use by student teams for co-curricular activities, programs, and learning experiences.
    • Partnered Research:
      • When a trade secret of a sponsor is involved.
      • When results are not published but are handed over to the sponsor.
      • When a product or patent is developed for a sponsor.
      • Consultations and collaborations with industry.
    • Operations:
      • Non-research, non-teaching uses related to the function of one’s job to conduct University business or for general access services for students, staff, and/or faculty.
    • Teaching:
      • Teaching and learning activities conducted by the University.

Description: Contains any relevant information about the software or service.
